London Business School Multifunction Cards

The multifunction card is one of the first things you will need in order to gain access to the buildings located around the school. It also gives you access to the library, fitness centre, and other services at the school. At times you may be asked to identify yourself by showing your card, so you should always carry it with you when you are at the School. You can also charge it up by adding money to it to make photocopies using any of the copiers around the school (the cost is approximately 8p per copy) or to print in colour using the colour laser printers in Taunton Place. Your card is personal to you and is protected by a Personal Identification Number (PIN) system. The first time you use your card in a card reader you will be asked to choose and enter your PIN. This should be 4 digits long (and easy to remember).

How to obtain your Multifunction Card

Cards can be obtained from the security desk at Plowden reception (on Park Road). They will usually take your photograph and issue you with the card immediately. The card will be active to open doors around the School within 24 hours. Please take good care of your card and do not lose it — a charge is made for any replacements that you may require.

Adding Money

Money can be added to your card account via an Autoloader machine situated in Sainsbury basement, Plowden photocopier room and the Library in Taunton Place. The Autoloaders accept 10p, 20p, 50p and £1.00 coins and £5.00, £10.00 and £20.00 notes. £5.00 and £10.00 notes should be inserted with the Queen's head up and nearest the machine; £20.00 notes should be inserted Queen's head up and farthest from the machine.

  1. Swipe your card through the reader from top to bottom, with the magnetic stripe to the right and nearest to the machine.
  2. The machine will verify that your account exists.
  3. Insert your coins and notes into the machine.
  4. When you have added all the money, press the FINISH button.
  5. The machine will display your credit balance.

Using MONITOR readers

  1. Swipe your card through the reader from back to front, with the magnetic stripe to the right and nearest the box.
  2. At the 'Enter budget code' prompt, press the cancel button.
  3. Enter your 4 digit PIN number, which will be verified by the machine.
When you first enter your PIN number you will be asked to enter it a second time to verify it.
  4. The machine will display your credit balance.
  5. When you have finished your session press the FINISH button.

If you have any problems with use of the card, contact: Anne Wilson on ext. 7675

Study Space for EMBA Students

Across the London Business School campus, there is a range of seminar rooms and study space areas that are available for use by students for either group work or individual study. Below is an overview of the areas that are available to EMBA students, how to go about booking study space as well as some general 'house-keeping' tips to assist the School in maximising the availability of study space.

Seminar Rooms

Seminar rooms range in size, but all are of a sufficient size to host a study group meeting of 6 to 7 people. Each seminar room is equipped with a PC, printer, white board, flip chart, and a telephone (for internal dialling only). To use a room, you MUST book it first to ensure that you can use the room for the times that you need it. You can book seminar rooms via the on-line room bookings system, which you can access via Portal.

Online Seminar Room Booking Service

The Space Team have produced a web service to provide access to seminar rooms, seven days into the future. This manual will briefly explain how to use this service. Seminar room rules are included in the appendix.

To access the service you must be logged into London Business School Portal using your School email user name and password.

Follow the links under Facilities in Portal index (left hand navigation bar on front of Portal) to room bookings. Then select the 'Book Rooms' option from the blue index on the Right Hand side of the screen. This will take you to the Room Booking Service.

Please note that seminar rooms are primarily intended for group study. For individual study, you are strongly encouraged to make use of the individual study areas in the School first (see below for details). In addition, when using seminar rooms, it is important that the following 'house-keeping' tips are observed:

  • Seminar rooms must be booked via Portal — failure to book the room in advance could lead to you being asked to vacate the room by someone that has a confirmed booking.
  • 'Squatting' i.e. using a room that you have not booked as it is empty is permitted, however, you MUST leave the room immediately and graciously when asked to do so by a person/group that has reserved the room via the on-line system.
  • In order to maximise the use of seminar rooms, bookings are restricted to a maximum of 3 hours in a day.
  • If you have made a booking for a room, but you do not take up the booking within 15 minutes of the start time, your booking is invalidated and the room can then be used by other people. You must not use personal belongings to 'save' a room.
  • Please leave the room as you found it. This means cleaning up after yourself and erasing any work on the whiteboard when finished. If you have been using the flipcharts, please take your paper with you or dispose of it in a bin.
  • If you make a booking, but find that you no longer need the room, please ensure that you cancel the booking so that it can be made available to other students. Cancellations can also be made via the on-line room bookings system.

Individual Study Space

In addition to the seminar rooms, there are a number of areas that can be used for individual study and, in most cases, are available 24 hours a day.

  • Sloan and EMBA Computer Room (First Floor, B-Wing)
  • S1 lounge (First Floor, Sainsbury Building)
  • MBAsement (Basement, between Plowden and Career Services)
  • MBAr Basement (Basement, A-Wing)
  • E-Lab (Basement, E-Wing)

Function Space/Conference Space

If you are involved in student club activity and wish to book space for an event such as a reception or conference you are holding, you can also use the on-line room booking system to check what space is available. The Space Planning and Management team will also be happy to advise you on what is available and which dates are preferable to meet your specific requirements. They can be contacted via rooms@london.edu. Function space is limited so please ensure that you have a confirmed booking before you publicise your event.

EMBA and Sloan Common Areas

The Sloan and EMBA Common Rooms are intended primarily as a common meeting space, somewhere to work, and somewhere to leave your things. These areas are not particularly secure, so please do not leave your mobile phones or laptops out when you are not with them (even for a few moments). There are several PCs for your use in the computer room, which is a quiet space to work. The common room contains tables and chairs and is more of a social space. You will also find the coffee machine and a cold water bubble in this room.

The notice boards are outside the Common Room. These are for timetable information, general programme information and social events. In the Common Room there is a telephone available to use for internal and local calls, local calls are free of charge. A fax machine is also available for both local and international faxes — instructions for use are beside the machine.
